Gardeners Sands End is committed to providing gardening and grounds care services in a manner that safeguards the health, safety and welfare of our employees, contractors, clients and members of the public. This policy sets out our approach to identifying, controlling and reducing risks associated with gardening, landscaping and related activities across the areas we serve.

Policy Aims

The aim of this Health and Safety policy is to prevent injury, ill health and damage to property arising from our work. We will actively manage health and safety risks, comply with all relevant legislation and recognised industry standards, and continually seek to improve our practices.

This policy applies to all employees of Gardeners Sands End, as well as self-employed contractors working on our behalf. We also expect our clients and visitors to cooperate with us in maintaining safe working environments.

Management Responsibilities

Senior management at Gardeners Sands End is responsible for establishing and maintaining effective health and safety arrangements. This includes providing adequate resources, setting clear objectives, and ensuring that health and safety considerations are integrated into planning and decision making for all gardening and maintenance projects.

Managers and supervisors must ensure that:

Suitable equipment, tools and personal protective equipment are provided and maintained. Incidents, near misses and hazards are reported, investigated and used to improve our systems.

Employee Responsibilities

Every employee has a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. All workers must:

Follow the procedures, safe systems of work and training provided. Use tools, machinery and protective equipment correctly and never misuse or interfere with safety devices. Report hazards, defects, near misses, injuries and ill health promptly to their supervisor. Cooperate with management in implementing this policy and any associated procedures.

Failure to follow health and safety requirements may result in disciplinary action.

Risk Assessment and Safe Systems of Work

Before undertaking gardening, landscaping, clearance or maintenance work, Gardeners Sands End will carry out suitable and sufficient risk assessments. These assessments will consider, where relevant, the use of powered and hand tools, working on uneven ground, manual handling of soil, plants and materials, use of chemicals, noise and vibration, exposure to weather, and interaction with clients, visitors and the public.

From these assessments we will develop and implement safe systems of work that set out the correct methods, sequence of tasks, and control measures to be followed. These will be communicated to the workforce and reviewed regularly, especially when there are changes in work practices, equipment or location.

Use of Tools, Machinery and Equipment

Only trained and authorised persons may use powered machinery and specialist gardening equipment such as lawn mowers, hedge trimmers, strimmers, chainsaws and powered cultivators. All equipment will be selected for its suitability, maintained in safe working order and inspected at appropriate intervals.

Defective or damaged equipment must be taken out of use immediately and reported for repair or replacement. Guards and safety devices must never be removed or bypassed. Where noise, vibration or other hazards cannot be eliminated, appropriate protective measures will be applied.

Personal Protective Equipment

Personal protective equipment will be provided where risks cannot be adequately controlled by other means. This may include safety footwear, gloves suitable for gardening and handling sharp or rough materials, eye and face protection for cutting and strimming, hearing protection for noisy machinery, and weather-appropriate clothing.

Employees are required to use the protective equipment supplied, keep it in good condition and report any loss or defect so that it can be replaced promptly.

Chemicals, Substances and Environmental Hazards

When handling fertilisers, soils, mulches, paints, fuels, pesticides or other substances, Gardeners Sands End will follow safe handling and storage procedures. Any use of plant protection products will be carried out only by competent persons in accordance with product instructions and legal requirements.

We will take care to avoid contamination of soil, drains and watercourses, and will dispose of waste, arisings and packaging safely and responsibly. Environmental considerations will be built into our planning for each job.

Manual Handling and Physical Work

Gardening and landscaping work often involves lifting, carrying and repetitive physical tasks. We will seek to minimise manual handling by using mechanical aids and sensible work planning. Where manual handling cannot be avoided, staff will receive training in safe lifting and carrying techniques.

Loads must only be lifted or moved where they are within the capability of the individual and the team. Workers are encouraged to stop and seek assistance or alternative methods if a task appears unsafe.

Working at Height

Where work at height is necessary, such as pruning, hedge cutting or accessing raised beds and structures, Gardeners Sands End will plan the task carefully and use appropriate equipment such as ladders, platforms or access towers that are suitable and stable.

Work at height will be avoided where reasonably practicable, and only competent persons will be authorised to carry out such tasks. Weather conditions, ground stability and nearby hazards will be considered before work starts.

Training, Information and Supervision

We will provide all employees with information, instruction, training and supervision appropriate to their roles. This includes induction training, task-specific instruction for new equipment and techniques, refresher training where needed, and clear guidance on emergency procedures.

Supervisors will monitor work on site to ensure that safe systems are followed and that any unsafe behaviour or conditions are corrected promptly.

Accidents, Incidents and First Aid

All accidents, injuries, work-related ill health and near misses must be reported as soon as reasonably possible. Gardeners Sands End will keep records, investigate incidents to identify root causes, and implement corrective actions to prevent recurrence.

Suitable first aid arrangements will be in place for all work activities, including provision of first aid supplies and access to trained first aiders or appointed persons, as appropriate to the size and nature of the work.
